For decades, one of the most frustrating pain points for Exchange administrators has been the dreaded "ghost meeting series."
When a project manager or department head leaves an organization, their recurring meetings, project syncs, and conference room reservations remain active on everyone else’s calendars. In the past, admins had no native way to transfer meeting ownership:
- If you deleted the user's mailbox, the recurring series stayed stranded on attendees' calendars forever, un-editable and impossible to cleanly cancel.
- If you granted a delegate access to the departed user's mailbox, the delegate could modify occurrences, but the organizer identity remained tied to the departed account.
- If attendees declined or deleted the series, meeting rooms often remained permanently booked in Exchange Resource mailboxes.
Invoke-ChangeMeetingOrganizer PowerShell cmdlet.
In this guide, we dive into how Invoke-ChangeMeetingOrganizer works under the hood, analyze the behavior for internal vs. external attendees and Teams join links, and provide a production-ready PowerShell offboarding runbook to bulk-transfer calendar ownership to a manager or successor.

How Invoke-ChangeMeetingOrganizer Works
Invoke-ChangeMeetingOrganizer transfers the ownership of a single appointment or an entire recurring meeting series from a Source Mailbox to a Target Mailbox residing within the same Microsoft 365 tenant.

[Internal Attendees] [External Attendees]
• Calendar updated • Old meeting cancelled
• RSVP preserved • New invite generated
• No re-prompting
Key Technical Behaviors:
1. Preserved RSVPs for Internal Attendees: Attendees inside your tenant do not have to re-accept the meeting. Exchange Substrate silently updates the organizer property on their calendar items while preserving their existing RSVP status (Accepted, Tentative).
2. External Attendees Workflow: Because external mail servers (Gmail, third-party Exchange, Yahoo) cannot have their internal calendar databases modified silently via cross-tenant EWS/MAPI, external recipients will receive a cancellation notice from the old organizer, immediately followed by a new invitation from the new organizer.
3. Room and Equipment Mailboxes: Conference room reservations remain intact without releasing or double-booking the resource mailbox.
4. Microsoft Teams Online Meeting Coordinates: While the Exchange calendar event ownership transfers smoothly, the underlying Teams online meeting coordinates (the join URL, conference ID, and chat thread) may remain associated with the original creator's Teams user object. For critical recurring calls, the new organizer should edit the meeting in Outlook or Teams to refresh the Teams coordinates once ownership transfers.

Prerequisites & Permissions
To run the cmdlet, the executing administrator needs the Organization Management or Recipient Management role in Exchange Online:
# Connect to Exchange Online PowerShell (v3.x or later)
Import-Module ExchangeOnlineManagement
Connect-ExchangeOnline -UserPrincipalName [email protected]
Both the SourceMailbox and TargetMailbox must:
- Be active, shared, or soft-deleted/litigation-held mailboxes within the same Microsoft 365 tenant.
- Have active Exchange Online licenses (if active user mailboxes).
Step 1: Finding Future Orphaned Meetings
Before transferring meetings, query the departed user's calendar for active or future meetings using Get-CalendarDiagnosticObjects or EWS/Graph API.
Here is a quick PowerShell one-liner to inspect future meetings where the departed user is the organizer:
$sourceUser = "[email protected]"
$today = Get-Date
# Retrieve meetings from the user's primary calendar
$calendarItems = Get-CalendarDiagnosticObjects -Identity $sourceUser -StartDate $today -EndDate $today.AddMonths(12) |
Where-Object { $_.IsOrganizer -eq $true -and $_.IsCancelled -ne $true } |
Sort-Object StartTime -Unique
$calendarItems | Select-Object Subject, StartTime, EndTime, MeetingType, CleanGlobalObjectId | Format-Table -AutoSize
---
Step 2: Transferring a Meeting via PowerShell
According to the official Microsoft Learn Invoke-ChangeMeetingOrganizer documentation, the cmdlet supports transferring meetings either by Event ID (recommended for programmatic scripts) or by Subject (convenient for quick manual one-offs), alongside optional scoping for future series occurrences via -TransferSeriesStartDate.
Example 1: Transfer by Event ID (Exact Match)
$sourceUser = "[email protected]"
$targetUser = "[email protected]"
$eventId = "AAMkADk3..."
# Transfer specific meeting or recurring master by Event ID
Invoke-ChangeMeetingOrganizer -Identity $sourceUser `
-EventId $eventId `
-NewOrganizer $targetUser
Example 2: Transfer by Subject & Effective Future Date
If you only want occurrences starting from next month to move to the new organizer (leaving past historical occurrences in the departed employee's calendar intact):Invoke-ChangeMeetingOrganizer -Identity "[email protected]" `
-Subject "Weekly Architecture Sync" `
-NewOrganizer "[email protected]" `
-TransferSeriesStartDate (Get-Date "2026-12-01")
Upon execution, Exchange Online:
1. Re-parents future instances to $targetUser's primary calendar folder.
2. Updates directory metadata across all internal attendee calendars without prompting for re-RSVP.
3. Preserves room mailbox reservations.

Production Offboarding Script: Bulk Transfer All Future Meetings
When offboarding an employee, manually finding and transferring 20+ individual meeting IDs is impractical.
The following automated production script queries all future organizer meetings for an offboarded employee, prompts for verification, transfers them to a designated manager or team member, and exports an audit CSV log.
<#
.SYNOPSIS
Bulk transfers future organizer-owned calendar meetings from a departed employee to a successor.
.DESCRIPTION
Uses Exchange Online PowerShell and Invoke-ChangeMeetingOrganizer to remediate
orphaned single and recurring calendar events during employee offboarding.

Verification & Post-Migration Tips
1. Verify in Outlook: Open the target manager's Outlook calendar. The meetings will appear immediately on their calendar as the meeting organizer. 2. Review Meeting Rooms: Check the acceptance log of booked meeting rooms. The room bookings remain preserved under the new organizer's ownership. 3. Teams Coordinate Refresh: Have the new organizer open the recurring series in Outlook Desktop or Web, click Edit Series, and click Send Update. This synchronizes the Teams meeting join coordinates under the new organizer's identity.

Summary Checklist for Offboarding Workflows
- [ ] Add
Invoke-ChangeMeetingOrganizerstep to your HR offboarding runbook prior to mailbox deletion or license revocation. - [ ] Determine the successor organizer (manager, team lead, or shared mailbox).
- [ ] Execute
Meeting_Transfer_Report.ps1to inventory and transfer future recurring events. - [ ] Notify external attendees if high-profile client meetings were part of the series.
- [ ] Convert the source user's mailbox to a Shared Mailbox or hold via Litigation Hold if historical audit logs must be retained.
